File Packing

Scope

This Methodology relates to the Sequential Packing of files, records and paperwork that would usually be found in an office environment.

This method Statement covers the sequential packing of files, records and paperwork between two sites.

Process

To successfully carry out this activity the following process should be followed:

  • Undertake pre-move meeting with move team to confirm arrangements.
  • Confirm that all necessary equipment to undertake the move is on site and in suitable working order.
  • Locate the items to be packed/unpacked based on the agreed programme with customer.
  • Dependant on the style and situation of the filing the labelling strategy will already have been agreed. This would normally be in a numerical or alphabetical order.
  • Check labelling to ensure that the correct details are shown.
  • Items will be packed into crates that will be labelled according to the agreed labelling strategy – normally a label on the outside of the crate and a second label on the inside of the crate as a safety/security measure should the outside label become detached.
  • Security crates may be used to transport sensitive documents or to maintain the integrity of employee files or client sensitive files.
  • It is possible to secure the Security Crates with either Nylon Rip Ties or Security Numbered Rip Teals for a higher degree of security – this would have been agreed in advance of any packing taking place.
  • Check the access routes to ensure that the way is clear and free of obstacles. Ensure all necessary signage is on display and visible.
  • Porters should load the packed crates onto the Platform Dolly or Barrow ensuring that its weight is spread evenly and can be moved safely.
  • Carefully move the packed crates to the identified final designation or vehicle ensuring no damage to the building fabric.
  • Porters will deliver the crates to the designated delivery point or area and our packers will unpack the items back onto the shelving, racking or cupboard.
  • Customer to sign off that the packing and unpacking has met their requirements.
  • Remove all equipment, waste and/or debris from site and ensure that it is left in a condition which is acceptable to the customer.
