The Scottish Prison Service (SPS) is a major agency within the Scottish Government, comprising a workforce of more than 4,000 individuals spread across 15 facilities throughout Scotland.

Requirements

SPS opted to relocate its headquarters to a new site and needed a supplier to oversee the removal of furniture and the environmentally responsible disposal of the remaining furnishings at its present corporate office. This office is located across multiple floors in a prominent business district in Edinburgh.

Solution

The project followed a multi-phase approach, commencing with a comprehensive audit, meticulously cataloguing each piece of furniture and equipment and capturing photographs of each asset.

The services provided during the project encompassed the following:

  • Collecting approximately 90% of the existing furniture assets for sustainable recycling due to their age and condition.
  • Dismantling and preparing equipment for subsequent auction sale, including items such as commercial catering and canteen equipment, audio-visual apparatus, a large backup generator, and more. The proceeds from these sales would be returned to SPS.
  • Collecting and relocating listed items to the SPS central storage location.
  • Collecting and relocating listed items to the new HQ building. This involved transferring items like staff crates and safes to the new Headquarters, as well as moving racking systems and confidential filing.

A planning meeting was held with relevant key stakeholders, leading to the development of a detailed 4-week work schedule. 

Once the project was underway, weekly progress reports were submitted to SPS. These reports included a breakdown of labour and transport resource usage, recycling tonnage generated, and progress against the overall project plan

Approach to a health and safety in a 'live environment'

All Pickfords staff allocated to this project were fully aware of and complied with the site rules of the Council for contractors working on-site.

Summary

The project was successfully finished within the specified timeframe and budget, with all goals and objectives met.

Subsequent to the project's completion, Pickfords provided the Scottish Prison Service with comprehensive environmental reports detailing the project’s CO2e usage and equivalent metrics, as well as for its internal Corporate Social Responsibility (CSR) compliance.
